The tenant process: Tenant referencing Prospective tenants/applicants wanting one of our properties for rent will be discussed with the property Landlord in advance of the referencing process. We will never decide on a tenant on behalf of the Landlord unless they have requested for us to do so. Should an applicant be acceptable as a tenant by the Landlord (pending satisfactory references being received), then a thorough referencing process will then commence. RHW Estates use a top quality independent referencing company that assure all parties of a thorough and time efficient service. Should the references be successful RHW Estates continue immediately with the arrangements for the tenancy start date. The deposit RHW Estates will be responsible for collecting and submitting the tenants deposit to the DPS (Deposit Protection Service). This deposit is refunded at the end of the tenancy as long as the property is found to be in satisfactory condition at the property ‘check out’. In the case of properties managed by the Landlord themselves, the deposit release will be requested once RHW Estates have received confirmation from the Landlord that they are happy for us to do so. N.B. Deposits, by law, have to be submitted to a registered deposit scheme. Landlords may do this themselves as long as they are registered members with such a scheme. Property maintenance As part of the Full Management service, RHW Estates are the sole contact for your tenants. We take on the organizing of any necessary repairs or maintenance should the property require it. Landlords are given various options on how much involvement they have in this area. We are happy to contact Landlords regarding each and every issue that may arise, or not at all. We assure Landlords that our priorities lie in not spending Landlords money where it is not needed, but in looking after tenants needs to keep them living and paying happily for the property they live in. Many Landlords give us a budget up to which they are happy for us to spend before being contacted. We have a top quality, yet competitively priced, group of contractors whom we use, but are happy to use Landlords preferred contractors if requested. Property visits The first property visit that takes place is at three months, giving your tenant enough time to settle in. It is also a key time to enquire as to their future plans, confirming if they will be continuing or ending the tenancy at the end of the current fixed tenancy period. A tenancy renewal can then be drawn up well in advance, free of charge to both Landlord and Tenant. All being well on this first appointment further property visits are scheduled to happen at six monthly intervals. It is important that your Tenant feels they are given privacy throughout their tenancy. Reports are made to Landlords following the visits, however, tenancy renewals or terminations may arise in between times. Please note: A tenancy can continue after the fixed period has expired on a periodic basis (month by month), which some parties will prefer, no further documentation is needed in this case. If concerns arise from property visits, discussions will begin with the Landlord and plans for more frequent visits, or tenancy terminations are made. Landlord payment Rent is collected by RHW Estates each month on the date stated in the tenancy agreement. Payment is then made to the Landlord within a maximum of 10 working days from collection, less the agreed agency fee (and any expenses owed if incurred). A monthly statement will be sent to the Landlord showing all rent collected, any property expenses paid, and agreed agency fees deducted. |
